Job Title: Operations Director     
Department: General Operations    
​Report To: Executive Director    
Location:  Hybrid
Salary: $57,500 annually 
Benefits: Employee paid health insurance

FLSA Status: Full Time, Exempt         

Position Summary
The Operations Director must be responsible, organized, flexible, and detail-oriented; enjoy working with colleagues and clients of diverse backgrounds and experiences; and know when to ask for help while also being able to work independently. In partnership with the Executive Director, the Operations Director will be responsible for ensuring all operational aspects of the KHJN organization are running smoothly and efficiently, including office, financial, HR, and business development management.  This role will be required to hold confidential information and function effectively in a statewide, virtually connected organization.

Essential Duties & Responsibilities
Office & Communications Management (25%)
  • Manage correspondence from P.O. Box and distributes or takes appropriate actions 
  • Respond to info@khjn emails
  • Responsible for inventory of office supplies and manages orders as needed
  • Maintain communications with building supervisor/owner 
  • Maintain organizational calendar and reserve meeting spaces when needed
  • Maintain and ensure confidentiality of KHJN's internal documents via google drive or other selected systems
  • Assists with website and social media management
  • Provide occasional tech support for staff as needed
Finance Management (25%)
  • Work with accounting and finance team to manage all monthly revenue, expenses, monthly internal finance reports, invoice payments, Form 990 and monthly bookkeeping
  • Reconcile bank statements monthly and make bank deposits as needed
  • Review and manage staff expenses through Expensify
  • Responsible for creating and managing KHJN’s budget alongside outside financial staff
HR Management (25%)
  • Maintain employee records and employment documentation
  • Process biweekly payroll 
  • Ensure Handbook policies and procedures are current
  • Maintain communication for staff meetings 
  • Create large virtual meeting spaces as needed
Business Development (Fundraising, Grants, and Donor Management) (25%)
  • Manage and maintain the donor database to ensure accurate and up-to-date donor records, information, and correspondence including sending donor receipts, thank you cards and tax notices
  • Lead and mobilize KHJN's staff, volunteers, and other stakeholders to ensure a successful annual Fund-a-Thon
  • Responsible for year-end fundraising appeals and donor appeals
  • Research and present new grant and funding opportunities
  • Collaborate with Executive Director with grant writing and proposals for funding
  • Create and develop KHJN’s Annual Report
Essential Qualifications
  • Minimum two (2) years of experience with writing grants and grant reports 
  • Experience with Expensify and Quickbooks software or similar bookkeeping and expense report systems
  • Previous administrative support and/or office management experience—ideally within the nonprofit sector
  • Experience and exposure working with campaign efforts and events involving Black, Immigrant, LGBTQ, or Indigenous settings.
  • A working understanding of the Reproductive Justice framework.
  • A working understanding of the abortion access landscape in and around Kentucky including legislative and cultural barriers and available resources.
  • Possess cultural awareness and humility, and the ability to build positive relationships with diverse people. 
  • Possess and demonstrate a high level of emotional intelligence, compassion, and capacity for giving and receiving feedback. 
  • Demonstrated commitment to racial and reproductive justice.
  • Working knowledge of anti-racism.
  • Ability to produce quality work as an individual and as part of a team
  • Must be detail oriented with the ability to multitask
  • Must respond to messages from the executive director, trans advisory board members, and board executive committee in a prompt and timely manner
  • Strong professional written and verbal communication skills.
  • Proficiency with Gmail and Google Suites; ability to learn other cloud-based programs and tools utilized by organization. 
Physical Requirements
  • This position requires the ability to operate a computer for extended periods of time at a desk; to communicate by text, phone, and video conference; and to travel occasionally (10%). 
  • Must be able to lift and move up to 20 pounds occasionally.
  • The physical demands described herein are representative of those that must be met by an employee to successfully perform the essential function of this job.

Work Environment
  • Requires ability to work in a flexible hybrid environment (2 days in the office and 3 days remote) except for some required in-person meetings on an as-needed basis.

  • Requires limited travel time of 10%

Position Summary
The KHJN Community Outreach Coordinator will help create and oversee organizational outreach strategies. The Outreach Coordinator will be responsible for connecting KHJN to the broader community by creating and facilitating community partnerships alongside the Executive Director.
Essential Duties & Responsibilities
  • Engage community members in innovative ways that align with KHJN’s values.
  • Create and organize outreach events that include but are not limited to:
  • Educational workshops
  • Partnership events
  • Fundraisers
  • Donor appreciation events
  • Volunteer appreciation events
  • Create, build, and maintain community partnerships and relationships.
  • Create and manage annual outreach budget
  • Create and submit end of the year report for outreach for the KHJN annual report

Essential Qualifications
  • Minimum 3 - 5 years of community outreach experience.
  • Minimum 3 - 5 years of fundraising experience.

Position Summary
The Communications Coordinator will manage and enhance the digital presence of KHJN through social media platforms and overall communication strategy. The Coordinator will lead/support marketing materials (both virtual & printed) for KHJN’s Abortion Support Fund, Trans Health, and Take Root programs to develop resources and awareness for the community at-large. The Coordinator will work with Directors and other staff members to ensure that KHJN’s communication efforts represent our community stakeholders and accurately promote and depict the mission of our organization. The overall goal of this role will be to sharpen the voice and message of Kentucky Health Justice Network for the public.
Essential Duties & Responsibilities
Manage social media platform content (primarily Instagram, Facebook, and Twitter) and KHJN website.
Schedule and promote content on various social media platforms.
Use Canva to create images for posts.
Filter media requests 
Maintain an online voice that reflects the values of our callers and stakeholders
Develop printed materials for outreach needs
Collaborate with Directors to strategize content and program needs related to communication
Develop a media kit for press and outreach.
  • Create consistent branding for the organization and respective programs.
  • Support organization-wide efforts to improve external communications to the commonwealth.

Essential Qualifications
A working understanding of the Reproductive Justice framework.
A working knowledge of anti-racism.
Minimum 2 - 3 years of social media management experience. Experience within the nonprofit sector is highly recommended.
Professional experience in Graphic Design.
Experience creating marketing materials such as but not limited to:
  • Merchandise and apparel
  • Mass-shared graphics
  • Stickers
  • One page fact sheets
  • Brochures
Ability to produce quality work as an individual and as part of a team.
Proficiency with Gmail and Google Suites; graphic design software; and ability to learn other cloud-based programs and tools utilized by organization. 
Strong verbal & written communication skills.
Must be detail oriented with the ability to multitask.
